Governing Body – Meeting Minutes and Board Resolutions
Further to Meeting of Notice sent on 14th June 2022 for Special Governing Body Meeting following is attendance
Present Members: Ram Pukar Maurya, Sunil Kumar Sharma, Moher Singh, Chakit Singhal, Jasmeet Singh Shahpuri, Sanjeev Gupta, Rudraksh Khandelwal, Nripendra Singh, Shamendra Singh, Agnelo Rodriguez, Amardeep Singh Sethi.
Absent Members: Rajiev Malhotra, Bobby Kalra, Amit Garg
Quorum:
All Members of newly elected Governing Body are present and Quoram is met.
6 out of 9 Members of outgoing Governing Body are present and Quoram is met.
Proceedings and Resolutions:
Following the Election process as required by byelaws of Society, and members elected by General Body in elections held from 1st June to 7th June 2022, and results announced thereafter on 10th June 2022, following changes are accepted and to be affected to Governing Body of the Society.
Resolution 1:
New elected Governing Body members discussed among themselves and unanimously chose Mr. Ram Pukar Maurya to continue as President and Mr. Sunil Kumar Sharma as Vice President of the society and agreed for President and Vice President to assign posts to remaining members as deem fit.
Resolution 2:
After consultation and discussion Mr. Ram Pukar Maury and Mr. Sunil Kumar Sharma proposed to assign the responsibilities as following and same was acceptable to all members unanimously,
Mr. Shamendra Singh as General Secretary, Mr. Rudraksh Khandelwal as Deputy Secretary, Mr. Moher Singh as Treasurer, and remaining others as Executive Members.
Further to above resolutions below is table of outgoing old Governing Body and New Governing Body and same shall be communicated and submitted before Registrar of Societies to update the records

Resolution 3:
Governing Body members reviewed membership register of society and admitted 124 new members from dates as and when they applied for membership and paid membership fee. Governing Body also took note of resignation of 6 members and accepted them and register of members be amended accordingly and updated with office of Registrar. Resolution is passed by all members.

Resolution 4:
It was proposed and discussed among members, that as managing accounts of 700+ members is difficult to manage in excel sheets and manually, hence it was proposed and presented by Mr. Sunil Kumar Sharma to use Cloud Based service of “Zoho Books” as standard subscription, which allows to maintain records and accounts of members as well as automatically set emails to remind of renewals and dues. It was approved to subscribe for Standard Package of Zoho Books. Resolution is passed by all members.
Resolution 5:
As now a days many products and services are offered to purchase using payment cards only and it creates a situation where members have to first purchase goods and services with their personal card and then take reimbursement, it was proposed to explore option of getting from ICICI Bank where account of society is held, a Visa/Mastercard/Rupay based Payment/Prepaid/Debit Card to make payments directly from Bank Account of society. Resolution is passed by all members.
