1. Decision of collection of funds in absence of Society’s bank account for pursuing the urgent intervention in Writ Petition C 6049/2020 at Allahabad High Court between Jaiprakash Associates Limited and State Government of UP vide YEIDA. Matter was discussed and it was agreed that till Society Bank account is not open funds shall be collected in Bank Account of Mr. Sunil Kumar Sharma (Vice President) as per following details and all expenses can be incurred from it and later once account of society is open remaining funds shall be transferred to same.

2. Approval of Selection of Lawyer to pursue and represent members through Intervention Application in Writ Petition Bearing No 6049/2020 between Jaiprakash Associates Limited and Government of Uttar Pradesh represented by Yamuna Expressway Industrial Development Authority as discussed in week leading to formation of society. Three Advocate candidates were discussed between 16-19 June 2020, namely Adv. Sahil Sethi, Adv. Manorath Rathi and Adv. Lokesh Bhola. Their pricing as well as suitability and knowledge of case was discussed and members agreed to hire Adv. Lokesh Bhola for Lump Sum All Inclusive fee of Rs, 500,000/- (Five Lakhs) and payment terms to be finalized in 4 installments and same was approved today. It was to be disbursed from the account of Sunil Kumar Sharma where fund has been collected till bank account of society is formed.
3. Approval of Consultant and his fee for assisting and guiding in formation and registration of society. Various options were discussed including consultant found on various websites and finally it was agreed to hire Mr. Tara Chand Kaushik of Meerut and an amount of Rs. 25000/- (Twenty-Five Thousand) was approved for this to be paid in two installments of Rs. 15000/- and Rs 10000/- from account of Mr. Sunil Kumar Sharma where fund has been collected temporarily.
4. Approval for standard expenses of members involved in day to day activities. Keeping in view that Office bearers shall be visiting courts, lawyers, Jaypee Office, YEIDA office and other such activities it was approved to fix standard and limit on certain expenses as below

Conveyance by own Car – Rs. 10 per Kilometer

Conveyance by Taxi / Auto – As per actual 

Conveyance by own two-wheeler – Rs 4/- per Kilometer

Conveyance by Train/Flight – As per actual

Outstation Hotel Stay – Rs. 3500 per Night max.

Meals – Rs 500/- per meal and not exceed Rs. 1500 per day

Outstation Misc. Allowance –Rs. 1500/- per day 

Other expenses – as per actuals and approvals.

5. Appointment of Chartered Accountant and Book-Keeping Clerk. This matter was discussed and it was resolved to keep it on hold till few months and with increased activity this can be hired on once on a week basis to manage the books and once in a year auditing. In the meantime, an excel sheet of income and expenses can be maintained by Treasurer and option to get it done in Tally software by RP Maurya Ji.
6. Entry of members in Society’s General Body for those who has contributed for pursuing the Intervention Application matter at Allahabad High Court in Agenda Point No. 1 and 2. It was discussed and approved that all members who has contributed Rs. 5000/- per member prior to registration of society shall be offered membership upon registration and this amount shall be considered their Annual Subscription Fee.
7. Minimum Membership Target and Contribution It was discussed and agreed that Society will require minimum 120 Members contributing Rs 5000/- each to a Total of Rs 6 Lakhs to ensure covering of expenses of Allahabad High Court Matter and Formation of Society.
