| 1. | Acknowledgement of engagement of Chartered Accountant Vinod Kumar for Audit of Accounts of Society and ITR Filing appointed by Governing Body. |
All members present acknowledged and approved of appointment of CA Vinod Kumar in terms of engagement letter shared with members through emails. |
| 2. | Review and approval of Audited Society Accounts for FY 2022-23 for sharing with members of association. | All members present has confirmed that they have reviewed accounts of society for FY 2022-23 and are satisfied. |
| 3. | Approval of Membership Status of Society including acceptance of new members and resignation of others. | It was discussed that: (a) 84 members defaulted on paying membership fees for 2021-22, penalty thereof and and the membership fees for 2023. (b) Most of these defaulting members are from Buddha circuit studios and Kove (c) It was agreed to wait for Allahabad HC’s judgement in Writ 6049/2020 and then decide upon membership of these defaulting members. Till then we will continue to levy late payment fees and membership fees. |
| 4. | Review of methodology of charging Annual Membership Fee in terms of Fixed Dates. | It was agreed that (a) Charing membership fees from the member’s joining date till the next twelve months is cumbersome for office bearers as they need to track it throughout the year basis members’ respective joining dates. (b) To ease this, it is agreed to have 1st April till March 31 of next year as the annual membership period. (c) This logic will be applicable from 1st April 2024 and all members will be charged on pro-rata basis till 31st Mar 2024 from their respective joining dates. |
| 5. | Discussion of seeking legal advice to approach Supreme Court as matter before HC is prolonged. | It was agreed that we shall wait till 13th July hearing date of Allahabad HC and see if any effective order is passed. If not, then take a call to approach SC to direct Allahabad HC to decide the matter expeditiously and in a time-bound manner of 3 months. |
| 6. | Finalization of date for holding Annual General Body Meeting of Society for 2023. Proposed date to be Mid July. | It was agreed to have AGM on 30th July, 2023. |
| 7. | Procuring of laptop for society’s official work | Approved by all members to spend 50-60 thousand for the purpose. |
